02 / What we process and why

Contact and prospective projects

When you submit the form, we receive your name, email, chosen area of interest and description. Your company or public website and timing details are optional. We use this information to understand the request, respond and discuss a possible scope of work.

Where you ask us to take steps towards a contract with you, the basis is Article 6(1)(b) GDPR. For general correspondence or contact on behalf of a business, we rely on Article 6(1)(f): our legitimate interest in responding to relevant enquiries and managing business relationships.

Providing information is voluntary, but we need a name, valid reply address and a description to handle the form request. You can email instead. Do not send passwords, API keys, payment-card details, sensitive personal information or private customer data through the enquiry form. It accepts no attachments.

Technical operation and security

Our hosting and website systems process technical request information, such as IP addresses, request times, requested URLs, browser information and error records, to deliver the website, prevent abuse and investigate incidents. The form additionally uses short-lived security tokens and pseudonymous rate-limit and duplicate-prevention records. This is based on our legitimate interest in a secure, reliable service under Article 6(1)(f).

Client accounts and project workspaces

If you have a client account or an assigned project, WordPress, WooCommerce and our project system process account identifiers, contact details, authentication information and the project information you provide, including briefs, messages and deliverables. These are used to create and administer your account, send password-setting or reset emails and project notifications, and carry out agreed work under Article 6(1)(b), or Article 6(1)(f) where you represent a business. Please use project features only as instructed for your engagement; the contact form is not a channel for access credentials.

We may retain records needed to meet applicable legal obligations under Article 6(1)(c), or to establish, exercise or defend a claim under Article 6(1)(f). Public purchase and payment collection are not enabled at present; submitting an enquiry is not an order.

03 / Who can receive your information?

Access is limited to the business operator and authorised people who need it to handle correspondence or agreed work. Website and email hosting are provided through SEOHOST Sp. z o.o. Technical service providers may process information on our behalf for hosting, security, backups and maintenance. Professional advisers or public authorities may receive relevant records when necessary for a legal obligation or claim.

The form sends to our business mailbox and, after confirmed mail acceptance, creates a private lead record in our WordPress-based operations system. It does not send an automatic marketing message or forward your enquiry to a generative-AI provider. WordPress and WooCommerce are software used on the site; using them does not by itself mean your enquiry is sent to every company whose software is installed.

International processing

The current form does not intentionally route enquiries to a non-EEA AI or analytics service. Your email provider may process correspondence according to its own arrangements. If we introduce a service that transfers personal data outside the EEA, we will first identify the applicable safeguard, such as an adequacy decision or standard contractual clauses, and update this notice. You can ask us for information about the recipients and safeguards relevant to your data.

04 / How long do we keep it?

We keep enquiry correspondence and its private lead record for the time needed to answer the request and conduct related follow-up. Lead records are flagged for a retention review after 90 days; this review date is not an automatic deletion deadline where the matter is still active or another legal reason applies. If it becomes a project, relevant information becomes part of that project's records. After the purpose ends, we delete information unless it is still necessary for a legal obligation or a specific potential or ongoing claim. The applicable obligation, limitation period and nature of the matter determine any longer retention; we do not treat an enquiry as permission to retain it indefinitely.

Account information is kept while the account is needed to administer access and agreed work. At closure, project records, messages and files are reviewed for outstanding delivery, support, legal and claim-related needs; unnecessary records are deleted. Deletion is a controlled review, not an automatic promise that every record disappears immediately when you close an account.

The contact security cookie lasts one hour, and a form token is valid for 15 minutes. Rate-limit entries expire within two hours; duplicate-prevention entries expire after 24 hours. Expired entries are removed by scheduled or request-triggered cleanup. These entries contain keyed digests, counters and delivery state rather than your message text. Hosting security logs and backups follow the host's operational retention and rotation arrangements; deleting an active record does not necessarily remove an already-created backup immediately. A request for erasure will also be considered in relation to these copies and any applicable retention requirement.

Contact us if you want to know the retention criteria applicable to a particular account, project or conversation.

05 / Cookies and browser storage

Cookies are small values stored by your browser. We currently disable WooCommerce visitor-attribution tracking and do not load advertising or analytics tags on the public website. Website fonts and visual assets are served locally.

Optional tracking will not be enabled merely by visiting this website. If added later, it requires an appropriate choice mechanism and an updated notice before activation.

06 / AI and automated decisions

Our services include AI-related work, but this enquiry form does not currently run an AI conversation or make automated decisions about you. We do not automatically quote, accept orders or make decisions with legal or similarly significant effects from the form. Any future use of your project data with an AI service must be addressed before that processing begins, with suitable information and safeguards.

07 / Your rights

Depending on the circumstances, you may request access to your personal data, correction, erasure, restriction and portability. You may object to processing based on legitimate interests for reasons relating to your situation. If processing is based on consent, you may withdraw it without affecting processing already carried out lawfully. Not every right applies to every processing purpose.

Send requests to hello@rankmoreai.com. We may ask for proportionate information to verify your identity. We will respond without undue delay, normally within one month; where a lawful extension of up to two further months is needed, we will explain it within that initial period.

You may lodge a complaint with the Polish supervisory authority, the President of the Personal Data Protection Office (UODO), or another competent supervisory authority, including in the country where you live or work.

08 / Changes and questions

We will update this notice when the site's processing changes. Material new uses of your information require appropriate notice before they begin. This version covers the website's current contact and account functions; project-specific confidentiality, processing and commercial arrangements are agreed separately.
